IMS Student Information provides efficient, reliable, and secure student data management. With dynamic features enabling students to view, register and pay for courses online, as well as to seek academic counsel, review examination results, and many more; students can become more self-sufficient and access pertinent information, interact with academic faculties, and collaborate with their peers online anytime, anywhere.
IMS Student Information functionalities are consists of:
Admission Management
Admission Management manages the process of admission from application through UPU or Internet until the offer letter is sent out to the successful applicants. The system differentiates entry levels into SPM and STPM holders and processes for merit marks accordingly to ease the process of selection. Student Id can be generated after selection. Offer letter with signature and address labels can be printed in batch from the system reducing much manual work. Since the data is captured from the beginning, the student profile is ready for the registration day eliminating re-entry.
Student Registration
Registration module manages the registration day activities. Registering students will have their status activated and all the required registration payments checked. Accurate and up to the minute registration statistics can be retrieved at the touch of a button to help the management in fine-tuning the orientation arrangement.
Hostel Management
Hostel Management system manages the administration and financial aspect of hostel. The room allocation is processed to certain criteria e.g. the occupants are from mixed level and courses. However, the hostel staffs have the right to manually allocate student. Hostel fees will be calculated for each student and the invoice is integrated with Finance system. The inventory for each room is maintained and any damage report can be recorded.
Subject Registration
In preparation for a coming semester, faculties need to prepare a list of subjects to offer and arrange the grouping for each subject. During the beginning of each semester, every student needs to register subjects. With Online Subject Registration, students can register for their subject anywhere, anytime as long as they are connected to the Internet. The system will also check all rules pertaining to subject registration e.g. maximum credit hour allowed, prerequisite checking, timetable clashing and capacity checking. This eliminates long queues, manual checking and paper forms. For pre-registration, filtering will be done after the examination to drop subjects with failed prerequisites.
Examination Management
Examination system captures the marks starting from coursework and assignment until the submission of final examination marks. Lecturers may publish the coursework marks through web and students will be able to view their own results only, ensuring confidentiality and eliminating crowd at the lecturer's door.
Tight securities ensure that lecturers will be able to key-in marks for their subjects during the allowed duration only. Different group of student can have different grading scheme and the system will process the grade and points according to the students’ own grading scheme and the subject's requirement to produce the results. Board of Examiners and Senate will be able to view the examination results online and drill down a particular student's performance up to the coursework level. Any changes to the mark can be done during the meeting and the new results will be processed immediately. Graphical analysis is also provided to compare the performance for subjects, faculty or courses. Upon endorsement from Senate, students may view their results through the web eliminating the need to wait for the arrival of the result slip.
Timetable Management
Timetable management integrates the information from subject registration and resource booking to produce a timetable complete with room allocation. The timetable is processed according to the subjects' contact hours and consecutive hours, the rooms' capacity and facility, lecturer maximum contact hours per day and clashing constraints. However, the administration officer is able to edit the processed timetable, if required.
Student Financial & Sponsorship
Student Financial generates the invoices for all the fees-related activities e.g. tuition fees, registration fees and examination fees. It also manages the general ledger accounts related to student invoices. This system records the sponsorship information of students for sponsor billing. It also record payment from sponsor and knock off invoices. The sponsor aging report can be generated to track payment ad claim outstanding bills.
Student Activities
Student Activities system maintains and tracks student participation and achievements in co-curricular activities. At the end of the studies, students may request for their activities transcript as a supplement to their resumes. This is an added advantage for the student in their job-hunt. Participation in these activities will earn them merit points and the points will be included in the transcript.
The system also keeps tracks of the funds allocation, sponsorship and expenses for each clubs and also for student activities. These will help Student Affairs Department to manage the clubs' financial matters. In addition, election for Student Representative Council is done online, improving accuracy and eliminating phantom voters and spoilt votes.
Research Progress Management
This module is focused research-based studies. It keeps track of the progress of the research including the periodical reports and supervisor feedback. Completed research is archived for future references.
Student Counselling
Student counselling system helps the counsellor to keep counselling history of his clients. Students may book their appointment online and the booking will be checked against the counsellor’s diary for availability.
Graduation and Alumni
Graduation and alumni is the end of a student's lifecycle. This system processes the eligibility of the student to graduate and produces the e-scroll for the convocation day. Students may also appeal online if they want to defer the graduation to try to improve their results. The system will also handle the administration matters for convocation day. After graduation, graduates may choose to become an alumni and the university will be able to share news, get alumni updates and offer other services.
